By registering and using SMS Ghana, you agree to the terms of this Privacy Policy.

2. What Data We Collect

We collect only the data necessary to provide our school management service:

We do not collect student ID numbers, home addresses, financial information, or any sensitive personal data beyond what is listed above.

3. How We Use Your Data

All data collected is used solely for the following purposes:

• To provide and operate the SMS Ghana school management system
• To generate attendance records, report cards and academic reports
• To manage user authentication and access control
• To manage school subscriptions and billing
• To provide customer support when requested

We do not use your data for advertising, profiling or any purpose outside of operating SMS Ghana.

4. Data Sharing

We do not sell, rent or share your data with any third party for commercial purposes.

We use the following trusted service providers to operate SMS Ghana. These providers process data only on our behalf and under strict confidentiality:

• Supabase — secure cloud database and authentication
• Vercel — website hosting and deployment
• Paystack — payment processing (payment data handled directly by Paystack)

No student data is ever passed to Paystack or Vercel. Only school and billing information is used for payment processing.

5. Data Security

We protect your data through the following measures:

• All data is stored on encrypted cloud servers via Supabase
• Access is role-based — teachers can only view their own class data
• Admin accounts have separate, elevated access controls
• All passwords are encrypted and never stored in plain text
• Connections to SMS Ghana are secured via HTTPS at all times

6. Data Retention

We retain school and student data for as long as the school maintains an active or trial subscription with SMS Ghana.

If a school wishes to permanently delete their data, they may contact us on WhatsApp at 0598302339 and we will process the deletion within 14 working days.

7. Your Rights

Under Ghana's Data Protection Act, you have the right to:

• Request access to the data we hold about your school
• Request correction of inaccurate data
• Request deletion of your school's data
• Withdraw consent and close your account at any time

8. Student Data and Children

SMS Ghana handles student academic records on behalf of schools. Student data is entered and managed by authorised school staff only. We do not collect data directly from students, and students do not have direct access to the system.

Schools are responsible for ensuring they have appropriate consent from parents or guardians before entering student data into the system.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Schools will be notified of any significant changes. Continued use of SMS Ghana after changes take effect constitutes acceptance of the updated policy.
